Onboarding Step 2

In your second onboarding session, you will walk through the steps to gain access to the various systems needed for your role. To complete this course, follow the steps thoroughly and be sure to check the boxes on your Onboarding Google Doc as you go. Reach out to [email protected] with questions. ⭐ We expect this step of onboarding to take about 2-4 hours in total. ⭐

All team members will additionally need the following systems. Follow the instructions below to get connected. Be sure to check the boxes on your Onboarding Google  Doc as you go.


1. Keeper – You will receive an invite to join Keeper soon (if you haven’t already). Accept the invite & download the Chrome extension. If you have not received an invite from Keeper, please email [email protected] now.


2. Dropbox – Once you accept the invite to Keeper, email [email protected] to let them know you’ve accepted it & include the role you were hired for. Then, the admin will give you access to the appropriate Dropbox credentials. Watch this video to see how to is how to log into Dropbox via Keeper. If Dropbox requires a verification code,  know that all MFA (Multifactor Authentification) codes for Dropbox are found in Keeper. Open the record, scroll to the bottom of the record and you’ll find it!


3. Zoom – This is how we hold meetings internally and with clients. Sign up for a free account using your Accordus email, so that your name and an optional professional profile picture can be set up. No license is needed. Here is a video on how to send a calendar invitation with a Zoom link. 


4. Screen capture tool – We communicate a lot through videos, so it’s important to have this tool installed on your computer. Create a free Vimeo account (if you don’t already have one) and install the Chrome extension.

Facebook – This is a just-for-fun closed group where Accordus team members can interact. We use this like a virtual break room, so feel free to swap recipes, share pictures of your kiddos, or post pics of your favorite remote work spot. If you’d like to join, email Becklin to be added to the group!

 

LinkedIn – Please be aware that if you add Accordus to your LinkedIn work history, you will likely receive Spam emails or texts from someone pretending to be Shae. This typically happens within the first few weeks, so please disregard anything that seems phishy. Shae will never text you asking for anything. Do not reply. Report and Block the sender. Notify [email protected] if you have any questions or accidentally interact with the sender.

1. Now that you have an Accordus email address, complete the following steps to set up your email signature:

 

  • Download the Microsoft Outlook mobile app and follow the steps below to set up an email signature for the mobile app:
  1. Save the Accordus logo above to your photo to your phone’s camera roll.
  2. Open Outlook app on phone.
  3. Click top left button and then click the gear icon (settings) in bottom left.
  4. Scroll down and click signature.
  5. Add your email signature (exactly the same as it is on your desktop).
  6. Click the photo with + button icon in bottom left corner.
  7. Add the Accordus logo thumbnail from camera roll. Click to “resize” it and make it size appropriate according to the signature font. Then click the check icon in the upper right corner to save.
  8. Send a test email to ensure your signature looks correct and matches the signature on your desktop.
*Always be aware of phishing emails that may come to your Accordus email account in the future. Here is what to look out for and how to handle it if you receive a phishing email.*
 

2. Create a Google account with your Accordus email address – We utilize Google docs and sheets quite frequently, but you can’t interact with them well if you don’t have a Google account. To prevent your personal email from being associated with the docs where clients could see, you will need to setup a Google account with your Accordus email address. The Google account username must match your Accordus email address EXACTLY. 

 

Set up your Google account with the following steps:

 

  • Visit the Google Create Account page HERE
  • Enter your name
  • Click “Use my current email address instead”
  • Enter your Accordus email address
  • Click “Next”
  • Verify your Google account username with a code sent to your Accordus email address.
  • Please note that you are only creating a Google account to access the Google Drive features like Google Sheets and Google Docs. You are not setting up a Gmail address and you should not be able to access the inbox feature when logged into Google. If you get prompted to create a Gmail, do not. Exit out of the page and go back to Google Drive. This is simply a Google account and not an email.

Check the boxes on your Onboarding Google Doc as you go.

Now that you have access to the systems, we want to make sure you know how to use them! This is the most important step, please do not rush through this. Review each system thoroughly and follow the directions to ensure a successful start with Accordus! 

Add a summary of each system above to your Onboarding Google Doc.

Please review the following resources summarizing your payroll and benefits:

HUMAN RESOURCES – Please contact Alex Webber, our Director of People Ops, for any of the following HR related issues:

  • Compensation – pay rate, direct deposit information, banking issue, tax forms, employment verification letters, etc.
  • Employee Relations – conflicts with another team member
  • Personal – if you are experiencing a family emergency, illness, or anything in your personal life that is affecting your work
  • Resignation – please submit a formal resignation to [email protected] and CC your department coordinator

Please upload a recent headshot here – include your first and last name as the file name. Our design team will add our Accordus logo to your headshot.


  • The headshot needs to be just you (no kids, spouse, pets, etc.)
  • A selfie is not acceptable
  • The picture needs to be high enough resolution that we can zoom in close to your face and shoulders
  • The photo can be either indoor or outdoor but must have good lighting
1-2 weeks after your start date, you will get your headshot back from us & you will use that headshot across all Accordus platforms (Zoom, Outlook, Teamwork, etc.).

1. Chief Operating Officer, Anne Cassell – please email Anne and request to be added to her virtual meet & greet, held once a month.


2. Founder of Accordus, Shae Hinson – the goal of this meeting is for you and Shae to swap cool stories and facts about your lives. No agenda except to make a connection. Click here to find a time that works for you!

Once you have completed all the steps for Onboarding step 2, add the total number of hours spent to complete these tasks to your Onboarding Google doc. Be sure that all of the boxes are checked and everything is filled in on your Onboarding Google Doc.


Now, you will email your Onboarding Google Doc link (make sure it’s set to public) to [email protected].  


Finally, you can check the box in Teamwork to mark this task as complete! 🎉
