Overview
All Accordus team members use shared Dropbox accounts specific to their individual roles. It is our shared file system. The credentials to that Dropbox account were shared with you during onboarding and you can access them in Keeper.
Setting Up Dropbox
- How to add the Accordus Dropbox to your computer – if desired.
- How to set up Selective Sync – see note at the bottom of this post for changes to selective sync as of August 2024.
- IMPORTANT: Never “DELETE” Accordus files from your computer. This will delete them from Accordus as a company. Always “UNSYNC” them if you want them removed from your local machine.
Verification Codes
Occasionally, Dropbox may require that you enter a verification code to log in. MFA (Multifactor Authentification) codes for Dropbox are found in Keeper. Open the record, scroll to the bottom of the record and you’ll find it there!
Guidelines for Saving Files in Dropbox
- Save all files in Dropbox and include the date created and/or Version number (don’t name anything as “Final”)
- Naming convention template for media files:
- [Client Name] [Project Name & dimensions] [Date YYYYMMDD] [Version]
- Examples:
- Accordus Giving Tuesday MC Header 800×200 20201201
- Accordus Giving Tuesday MC Header 800×200 20201201 v2
- Accordus 2020 Summer Postcard 5×7 20201204
Sharing Dropbox files with Clients
We get several Dropbox notifications every week from clients requesting access to a folder. We have always declined to share folders (and accept shared folders from clients) with clients for a few reasons:
- This gives the client edit access to Accordus’ Dropbox folder.
- They could delete or change information without our knowledge or accidentally, which can create confusion or liability.
Selective Sync has recently changed (as of August 2024). Please see screenshot for how to navigate to modify the sync. Check out Dropbox’s help article here.
