Handwriting projects

Some of our clients like to send handwritten note cards to their donors to connect with them and leave a lasting impact from their organization. Hand-addressed mail has a much higher open rate and has been really successful in getting personal mail to donors from our clients. Some clients do this on their own, but we also offer handwriting services to help our clients carry this load. Here are our 2 handwriting options if your client is interested in Accordus doing a handwriting project for them:

Option 1: Does your client ONLY want to send handwritten notes?
What your client may want to know:
  • The card must be a 5 x 7 flat or an A2 folded card (measure 4.25 x 5.5 when folded).
  • We use a service called Handwrytten for these cards, this service uses robots that hold actual pens and write cards – so it looks like (and is!) authentic handwriting.
  • Cost $4.38/per card. We just pass the cost directly onto the client.
  • Accordus designs the card, pulls the mailing lists, and places the order.
  • Cards are written and on the donor’s doorstep in 1 week.
  • The envelope is not branded – this actually increases the open rate too!
  • The postmark comes from Phoenix, AZ.
  • These are for stand-alone cards only; these cards cannot be stuffed into anything else or have any inserts.
  • Monthly/recurring cards will be sent through this option.

Option 2: Is Accordus working on a print project for your client and they want some type of handwritten work included in the print project?

Some examples:

  • We are printing a Year End case for support for your client (includes multiple pieces such as a booklet, giving card, return envelope, etc.) and they would like to add in a handwritten thank you note.
  • We are printing an annual report packet for your client and they would like the envelopes to be hand-addressed for an increased open rate.

Cost: The client pays for (or provides) the cards, envelopes, and postage + we charge $3 to write each card/piece.

Steps for Option 1 : Hand Written Notes Only
1. Assign a task to the graphic designer to create a design for the card using these specific specifications.
2. Receive your client’s approval on the design.
3. Assign a task to our hand writer, Danielle, in TW and include the following:
  • Screen recording with an overview giving a scope of the project
  • Design file – client approved
  • Copy (what will be written on the card)
  • Mailing List

Steps for Option 2 : Hand Written pieces (included in larger print projects)

  1. Create a print task (using the print task template) in TW and assign it to our Print Coordinator, Katie.
  2. Provide details about the handwriting details to Katie in the print doc. Be sure to include the copy and mailing list if applicable.
  3. That is all – Katie will handle getting the handwritten pieces assigned out and completed.
