Occasionally, for fundraising campaigns sent via email, clients will want to segment their emails to groups of donors and non-donors.
For donor segmentation, make sure to include the parameters if the client is wanting to create specific segments. This can be assigned to whoever is on the “Reporting” column of the client assignment sheet. You will need to send them a detailed task of which list/report to pull from the client’s database, if our team manages this. Data should be clean, I.e. no duplicates in the spreadsheet, with at minimum a first name, last name, email column.
If we want to look at Tier 1 & 2 donors, these segments have already been created if we do a quarterly donation dashboard.
If we’ve never done a donation dashboard for a client, we’ll need to create this in order to determine the giving thresholds for top donors. This can be assigned to Andrew P. Please tag Deb on the task as well.
For importing into the client’s email platform such as Constant Contact or Mailchimp, assign a task to Julia Sweeney as she handles the communications-related database items.
If a client wants to export their contacts from the CRM to Mailchimp or Constant Contact, here are the guidelines for consent (meaning, we have consent to email them and won’t get flagged for abuse):
- In the US, you can email contacts (donors) until they opt out. Adding donors to the email list automatically is ok.
- In other countries, like the UK, the person has to specifically opt in first. You can look up GDPR rules for more info on that if we have any clients that it applies to. Fundraise Up is built to comply with UK laws. For example, Fundraise Up has an opt in button that is unchecked by default. If it is prechecked as “opt in” but the donor has the option to uncheck it, then it is not compliant in the UK. It must default to no for that country.
- Additionally, if a contact was sent over to us by the client with no donations given and/or no explicit opt-in and they received it from a third-party, these contacts did not opt in and therefore should be imported as non-subscribed or not imported at all to be compliant.
