Accounting vs. Database Reports

Please watch this video to learn the difference between an accounting and database report when a client requests something, or when you are asked to send something to a client. 

When a client is talking about a report:

QuickBooks/Accounting
  • Board meeting
  • Accounts/Classes
  • Expenses
  • Budget
  • Programming
  • P&L, Profit and Loss, Statement of Activity – year, month
  • Balance Sheet, BS, Statement of Financial Position
  • Financials
  • Financial Packet
Database
  • Donors
  • Donations
  • Sponsorships
  • Lapsed donors
  • Recurring donors
  • Dashboard

When you are looking at a report:

QBO
  • The file name will be labeled P&L, BS, Financials, QBO, etc.
  • The spreadsheet will be titled
  • Sales Receipt (means donation)
  • “Account” will have data like 4010 Direct Support
Database
  • Rows of data that include a donor account number, name, and gift amount/date
  • Graphs
  • “Account” field will have data like “56848742”

“Reconciliation” refers to reports from both systems.
