Time Tracking with QuickBooks

QuickBooks Time (formerly TSHEETS)


QBT is the app we use to track our time and run payroll. You can use this as an app on your phone as well as in your browser on the web – we prefer the web browser! You will receive an invite from Accordus via email. Follow the link to sign in. You may want to bookmark this page so you can refer back to it!

 

Important things to note

  • Clock in when you start work and clock out when you stop, take breaks, or move to a new client’s project.
  • Anytime you step away from your computer, you should clock out.
  • You should have several timesheet entries for each day, rather than 1 entry that is 4+ hours long.
  • Whenever you log time, be sure to select the Customer (i.e. Help The Persecuted) and fill in the Comments section with a short note (i.e. “responded to client about email campaign”).
  • If you accidentally forget to clock out, you can edit and even delete your timesheet in QB Time. Please edit your timesheet to reflect the correct time frame that you worked.
  • Book time to “Onboarding” as you work through your onboarding steps in TeamWork. Once onboarding is complete, you should be booking all time to the specific client you are doing work for at that moment.
  • TEAM LEADS: Once you have completed onboarding, you will begin TL training. Please clock all time spent on TL training under the QB Customer “Team Lead Training.” Once you start doing work for a specific client, then you will begin clocking time to that customer in QB Time.

Onboarding 

-First week of work, working through onboarding tasks assigned in TW

-Initial intro meetings with team members

-If you have a weekly meeting with your Department Coordinator, clock that here also

 

Team Lead Training

-Shadowing other TLs on their client calls for training purposes

-Google classroom training

-Year-end training

-Any GENERAL TL training that is NOT client specific

 

<Client Name>

Anytime you are working on something related to a specific client, it should be clocked under that client’s name, this includes:

-Checking emails from that client or from team members about that client

-Working on assigned tasks for that client

-Looking in AccordusU for how to do something (ex: you are tasked to prep social media for <Client Name>. Any time spent in AccordusU watching social media videos should be clocked under that client.

-Shadowing client calls that you are transitioning to as Team Lead (TLs only)

-Doing practice calls with your mentor to prepare to begin leading your client (TLs only)

 

Accordus

We want to limit clocking time to the “Accordus” client as much as possible, here are some examples of when you should clock time under this client:

-Checking company-wide emails from Shae, Anne, Alex, or your Team Coordinator 

-Internal meetings with team members that are not specific to a client

-Completing company-wide surveys

-Google classroom training (once you’ve been on the team for more than 2 months)
